Another tender secured! – West Wales Action for Mental Health

We’re very pleased to share that our talented tender writers delivered yet another successful tender for our clients!

West Wales Action for Mental Health (WWAMH) are a mental health charity based in Carmarthen, Wales. They reached out to us in December 2022 requesting our Tender Mentor service, where we reviewed their tender writing, provided constructive feedback and helped them submit their tender with confidence. Due to our team’s experience working with charities and non-profit organisations, we were able to lend our expertise to the WWAMH team and helped them get onto the framework for Wellbeing and Mental Health Support at University Local Health Board and Ceredigion County Council.

Angie, the Director from WWAMH, informed us that she was very happy with the support that we provided, ensuring that a potentially daunting process was made much less overwhelming. Angie also provided us with a lovely testimonial (see below)!

We would like to extend our thanks to Angie and her team for their consistent open communications with us, allowing us to help WWAMH submit a winning proposal. We look forward to working together again in the future!

We would also like to extend our congratulations to our Global CEO, Jill Hudson and Global Head of Bid Management, Zoe Tumelty for overseeing this tender from start to finish, providing support and exceptional feedback for our client.

“The help and support we have received from Hudson has been phenomenal. The service and experience from start to finish has been very prompt, efficient, and helpful. The transition to my first contact with Joshua, and the handover between Jill and Zoe was extremely smooth and I didn’t need to repeat information – they just hit the ground running. Jill and Zoe are very knowledgeable and experienced RFP professionals, and explain things so well – this was constantly demonstrated in the reviewed content that I received back. As a small Charity it was vital for us to have access to such expertise, as these procurement processes sometimes do not feel small Charity user-friendly. The help from Hudson navigated us through the bewildering, and sometimes overwhelming, world of procurement and tendering. Thank you for your calm and compassionate help and support, it was extremely reassuring to have you by our side throughout this process.” – Angie Darlington, Director of West Wales Action for Mental Health

We’re also currently operating with an 87% success rate and we have over 60 years of collective experience in tender writing. So, you can rest assured that we’re very good at what we do!

What is tender management?

Tender management services include the effective overseeing of the entire tendering journey. This can include the planning and submitting of tender responses while reviewing and tracking the progress of work produced by tender writers, also known as bid writers.

Why is it beneficial to outsource tender management services?

For the best possible chance of securing a tender, good tender management is key! However, overseeing the entire tendering process can be both time-consuming and resource-draining for many businesses — particularly for SMEs which may lack the in-house team/support required.

This is due to the fact that tender management services require these steps:

  • Analyse and extract the requirements of the tender
  • Plan a solution to meet the requirements
  • Plan a realistic timescale for the completion of the tender process
  • Manage the tender writers who will be producing the content
  • Draft and communicate with the client for further information
  • Produce a competitive pricing structure

Note: Sticking to tight deadlines is vital for a successful tender process, as missing a deadline can delay the entire process. You don’t want a stressful submission!

What are proposal management and bid management?

The same as tender management! Depending on your location, tender management can often be referred to as proposal or bid management. These are terms most commonly used in the US — referring to RFPs (Request for Proposals) and bids.

Good tender management

So you know what tender management is, but what makes for good tender management?

Here are our top tips!

  • Every tender is different – you can’t apply the same process to each, however having a standard routine as a guide will help you keep on track.
  • You must always allow for mistakes! Whether this comes from the submission or writing process, tender management is hardly ever plain sailing. However, good tender managers will be able to foresee, adapt to and overcome these roadblocks.
  • Planning is important! This sets the tone of the tender process. If you fail to plan effectively, your entire team can be led astray and this affects your ability to meet the submission deadline.
  • Calm presence – The tender process can be stressful even when everything goes according to plan. This is why it is crucial to have a calm and organised presence managing the process. If a tender manager remains coolheaded in a crisis, this puts the tender writers at ease, plus the extended team and the company as a whole.

Bid Writing North East

Wondering where to find award-winning bid writing services in the North-East?

At Hudson Succeed, we take care of the entire tendering process – from sourcing the tenders to submitting a winning bid on your behalf.

Keep reading to find out why you should work with a North-East based bid management company!

We are a Durham-based business development consultancy with offices in London, Manchester and Orlando (US Head Office).

Our success:

With over 60 years of experience in providing bid writing services and an 87% success rate, Hudson Outsourcing can greatly increase your business’ chance of success. You can focus on the running of your business, while our expert Bid Writers do what they do best – write winning bids.

Based in the North-East of England, we enjoy supporting local businesses. For example, Imagine You Can UK (leading provider of the National Citizen Service (NCS) enquired about our bid writing services and through our expert services, we were able to secure 4-years’ income.

Why work with a North-East bid management company?

  • Outsourcing bid writing services can give you a significant edge over your competitors during the tendering for contracts process.
  • Particularly, North-East based Bid Writers offer a significant advantage to your business rather than local bid writers near you.
  • Instead of hiring an in-house writer, a full remote team of expert Bid Writers at Hudson Outsourcing can provide a wider range of tender services and complete the bid more efficiently while keeping costs down.
  • In-house writers often require desk space which can become expensive, especially in London. Our writers can work just as efficiently, while bringing you savings!
  • We are always accessible! Regardless of your business’ location, we can work with you via phone, Skype, Zoom and email. For example, we have supported clients in over 23 countries, including the Caribbean, US and Russia.
  • We also have offices across the UK where clients may meet: Durham, Manchester, London and Orlando (US). Therefore, we are accessible physically and virtually at all times.
  • At Hudson Outsourcing, we understand a company’s change in priorities – as such, we can adapt and continue flexible meetings while a client is away from the office or abroad. Other consultancies may be limited to face-to-face contact and meetings in their offices.
  • Utilising a North-East based bid writing consultancy can save your company money, rather than using a consultancy in London, for example. This is because London-based consultancies charge a significantly higher rate to keep up with companies in London increasing their pricing.
  • Ultimately, our services are award-winning and at a fraction of the cost demanded by other companies or in-house writers.

What do we offer?

We provide support at all levels of the bid writing process to give you the results you need! Our four bid writing packages on offer are tailored to provide different levels of support for everyone – whether you have tender experience and are not seeing results or you are a beginner, we can provide the service you need!

Our four bid writing packages:

– Tender Writing

Once you have identified a tender you’d like support with, send it to us and one of our expert Bid Writers will write the tender response for you. We provide full transparency regarding the writing process and once complete, we can also submit it on your behalf.

– Tender Mentor

Our Mentor service will ensure the bid you have produced is the best it can possibly be. As part of our external guide and review service, we can critique the document while improving your business’ content to ensure it meets buyer requirements.

– Tender Ready

We will provide professional policies, procedures and case studies in your branding. You will also have access to three days’ worth of bid consultancy – whether you need assistance with bid writing, tender reviews or simply general guidance, we can provide you with anything that is missing from your content needs.

– Tender Improvement

Our Improvement service can help those with tendering experience without seeing results. Our Bid Writers can assess your previous responses and identify ways to improve your content. We will work with you throughout this process.

Top four ways that our outsourcing services can benefit your business:

  1. Save time and money

Outsourcing services means you receive all the benefits of extra help, without having to hire another employee. This can help you conserve your business’ resources such as training and benefits. It also relieves pressure on yourself and your staff so you can concentrate on the efficient running of your business.

  1. Promotes business growth

Securing new business contracts can allow you to grow your business by offering a significant ROI (Return on Investment). Successful tendering for contracts increases experience which means access to bigger tendering contracts. This leads to ultimate business growth.

  1. Better risk management

Outsourcing bid writing services means hiring an expert. Attempting to solve a bid writing concern internally can have financial consequences and potentially months distracted from the regular running of your business. Avoid financial risk by outsourcing a Bid Writing professional.

  1. Increase chances of success

Ultimately, increase your business’s chance for success by utilising our outsourcing content services here.

Our process:

  1. What are your business needs?

Perhaps you would like to improve an existing process within your business, reduce costs or endeavour to create a new project. Whatever your business needs are, we have the answer!

  1. Is it right for YOU?

A professional bid writer will be far more efficient and experienced in crafting a winning bid. So, do you have the time and resources to conduct the bid writing process in-house?

Outsourcing the work will allow for you to focus on other aspects of running your business.

  1. Scope of Work

How much work needs to be outsourced? This will affect the entire process in terms of costing and time needed to complete a winning bid!

  1. Outsourcing Businesses

Client testimonials and reviews are a reliable way of assessing a consultancy’s reputation and success. At Hudson Outsourcing, we have an 87% success rate and clients in over 23 countries.

  1. Contract

Before conducting the bid writing process, the services needed and the terms of the contract between both parties need to be agreed upon. A transparent process should include the scope of work detailed, pricing and a timeframe of completed stages.

  1. Delivery

As aforementioned, transparency throughout the process is key. Therefore, the client should be happy at every stage of the process. However, if necessary, changes can still be made upon delivery.

Let’s sum up!

Companies often turn to North-East based bid writing consultancies for a number of reasons:

  • Lower costs to use than services provided by other consultancies based in London, for example.
  • Improved efficiency – remote does not mean less productivity!
  • Access to experts and professionals in bid writing.
  • Wide range of services provided to increase bid and overall business success – for example, design, marketing and branding as provided by our Vocal

Why should you work with bid management companies?

Simply put, bid management companies are organisations that offer support with the tendering process. This could be anything from writing tender responses to managing the bid writing process for clients.

In this blog, we’ll tell you everything you need to know about bid management companies. Keep reading to find out more!

Why is bid management important?

Bid management is important to ensure the tendering process runs smoothly. After all, the process can be time-consuming and complex, with different stages and tasks to complete. Without the necessary bid management skills, many businesses will find the process overwhelming. As a result, key details could be missed, making it harder for organisations to win tenders.

If you think you need extra support, bid management companies, like Hudson Succeed, are there to offer support.

Why should you work with a bid management company?

Before you outsource your bid management, you need to make sure it’s the right option for you. So, let’s look at the benefits of working with bid management companies:

  • Produce a winning tender response

It goes without saying – to win contracts, you need to produce a winning tender response. However, not everyone has the time, resources or skill set to do this in-house.

That’s where bid management companies come in!

Generally, they’ll have years of experience under their belts. They’ll know how to approach the questions and your tender response in the best possible way. So, when you work with a bid management company, your chances of success will improve.

  • Manage the tendering process

As we’ve already established, the tendering process can be complex and overwhelming for inexperienced suppliers. So, it can be helpful for businesses to seek support from bid management professionals.

If you need help in this area, bid management companies can support you with the following:

  • Assessing tender documents
  • Producing case studies
  • Setting internal deadlines, such as deadlines for first, second and final drafts
  • Writing a winning response
  • Submitting the bid on your behalf.
  • Save you time and money

This is one of the biggest benefits of working with bid management companies. It’s also why so many businesses turn to them for help.

It’s likely that you and your employees are incredibly busy running your business. If that’s the case, you probably don’t have time for internal bid management. Not only that, but your team might need upskilling so they’re familiar with the tendering process. Training your team in bid management will cost you time, money and resources, and take away from their day-to-day responsibilities.

However, if you outsource the process to bid management companies, they’ll handle everything for your business. While you focus on your usual work, professional Bid Writers will complete the entire bid for you. In half the time and at a fraction of the cost!

In summary

Bid management companies are organisations that offer support with the tendering process. This could be anything from writing tender responses to managing the bid writing process for clients.

Before you outsource your bid management, you need to make sure it’s the right option for you. The benefits of working with bid management companies include:

  • They’ll produce a winning tender response on your behalf
  • Bid management companies will manage the tendering process for you
  • They’ll save you time and money.

Professional Tender Writers

A Day in the Life…

First things first, as professional tender writers our days generally start with a good cup of coffee and catching up on emails before getting down to the main task of any professional tender writer: writing winning bids.

We’ll have a fifteen-minute team meeting, to discuss the day’s requirements. This includes any deadlines that may require bids submitting, new tenders or new clients that may have come aboard!

We’re a flexible team and enjoy our morning catch-ups, ensuring everyone is supported when they’re writing tenders.

After this time, our tender writers start to focus on their own projects. Alongside this comes liaising with clients, doing research and filling out PPQs and helping out colleagues with proofreading.

Writing tender responses

The main part of a professional tender writers’ role is completing PQQs, ITTs and quality questions. This means that a large portion of our day can be spent creating innovative content for our clients.

Most writing can be planned in advance. We like to make sure we are being succinct enough to showcase our client’s services within restricted wordcounts. Our professional tender writers are real wordsmiths with excellent levels of grammar and exceptional writing abilities.

Many of our bid writers have published works, and the expertise and quality they bring to professional tender writing is absolutely critical to creating and winning fantastic tenders for all our clients.

Writing tender responses is a time-focused task. We often work to tight deadlines and our professional tender writers ensure they set aside enough time to complete the contracts before submission.

We always allow for a two-step review stage in-house. This is to ensure that the tenders we submit here at Hudson Succeed are of the highest possible quality. At Hudson Succeed, quality is our top priority. When you sign up to any of our services, quality is always our mission.

Managing bid writing for multiple clients

Our team of professional tender writers are well-rehearsed in working reactively. With constant deadlines, we work instinctively to what needs doing the soonest.

In a typical day, you can see our bid writers handling up to four different bids for that coming week. To do this they ensure the following:

  • Enough time has been planned in to be able to fulfil the needs of the tender and submit on time.
  • Quality questions are fully answered and detailed meticulously with brilliant information about our clients.
  • We have had enough information from the client to be able to create any CVs or case studies needed to boost the proposal.

Juggling a busy workload is something our professional tender writers grasp with ease. We have a natural ability to write passionately about our clients, ensuring they are presented in the best possible light to potential buyers.

Our professional tender writers are experienced in all stages of the process. This means that no matter where you’re at with your tendering journey, we have a dedicated team on hand to deliver bids for you.

Writing for different industries

On an average day, it’s quite normal for our bid writers to be working reactively across different bids. This means you could be working on a cleaning tender in the morning, then switch to a creative or digital tender for the supply of smart boards for schools in the afternoon.

This means our workdays are incredibly varied, which is a great positive for our professional tender writers. Writing for different clients and industries is incredibly important, and we’re proud to say that we can cover any industry.

Our commitment to learning and research has seen us develop ten sector-specific portals, ensuring our knowledge reaches far and wide in terms of business. It’s because of this we’re able to write instinctively and with gusto about different sectors.

To find out more about the different industries we currently work across, please visit Hudson Discover.

Other commitments

By the afternoon, there may be meetings to attend and new clients to account for. For all tenders we commit to, we ensure the client is fully aware of what an opportunity entails before suggesting they go for it!

This means we’re likely to point out and find anything that may trip you up in one of our handy breakdowns. Our tender breakdowns are designed and created by our professional tender writers.

This is a great way of ensuring when we put forward a client for a bid, they have a great chance of winning. Our motto is: we write to win! And we make sure we see this through on every single tender we submit.

With our aims high, we always make sure that our clients are fully supported throughout the tender process. We understand it can be a minefield of acronyms, but we’re here to keep you grounded!

Once a client has decided that a specific tender would benefit them, we’ll create a bid plan. Our professional tender writers will focus on creating a schedule and gathering information needed from the client. We put this all into a handy format that is easy to understand and digest.

We think it’s really important to take time out in our day to fully engage with our clients – although most of the time we do have our heads down writing fantastic content! We’ll send out a bid plan on the same day a client decides to go for it, ensuring they’re supported from day one.

Writing the bid

Now comes the part most feared by most business professionals – the actual bid writing. If it’s something you dread, then fear not! Our team of professional tender writers can take this task off your hand, whether it be ad-hoc for the one-off tender or as a retained client looking to pursue new avenues of work through outsourced Tender Management.

To find out more about how an interim bid writer or perhaps a whole team of professional tender writers could integrate with your team.

We offer a range of services dedicated to providing excellent support where YOU need it.

We’ll work with you to create the perfect bid response. We’ll gather all the information from you about your business, including policies, working practises and methods.

With this information in mind, we’ll really get a grasp of your goals and aims, ensuring we pour as much passion into our writing as we possibly can. It’s always our plan that our bids will shine and stand out in the crowd, and with an 87% success rate at winning bids, we can ensure brilliant quality each time.

Each bid is different. Never forget it. This means that our professional tender writers can tailor your content to suit the needs of each bid you decide to tender for. Decide what’s most important to you and your company and we’ll include it.

About Us

We want to create lasting relationships with our clients, and most importantly grow their businesses by creating more work by tendering for long-lasting contracts. Visit our site today to find out more about what it’s like to work at Hudson!

What is Tender Management?

Last updated: Oct 28, 2021 @ 8:13 am

Tender Management services form the epitome of our tender writing offerings. Here at Hudson Succeed, you will find a variety of tender services, formulated to cater for a range of requirements.

We offer everything from a ‘guide and review’ service to ‘by-the-day’ tender writing, and more besides.

Our tender management services offer support to businesses of all sizes helping you to write winning bids.

You can expect the following from our robust bid writing support;

  • Expert Support

Our team have been helping businesses to grow for almost two decades. We have worked with organisations of varying sizes in a range of industries on a global scale. While we never claim to be experts in one particular industry, we are experts in bid writing.

  • Bespoke Solutions

Our services are designed to suit the needs of your business. Whether you require ad-hoc support for an important bid or help to begin your tendering journey, we have a service to meet your requirements.

  • Ongoing Support

We are proud to say that many of our clients continue to use our bid writing services on an ongoing basis.

  • Branded Literature and Opportunity Identification

Our Tender Ready and Tender Improvement packages include;

  • The creation/improvement of case studies, CVs and company literature.
  • Designing and branding of case studies, CVs, company literature and policies. Our in-house Bid Designers will be on-hand to ensure you stand out.
  • Support to identify the right tendering opportunities for your business to increase your chances of success.

End-to-end Tender Management, including:

  • An opportunity breakdown, which provides all the key information of the tender in a clear and succinct way. As well as this, the breakdown details the work involved for both parties. This can include aspects such as completing a pricing document.
  • A planned schedule of works, which will tell you when the tender will be written and what information will be needed form you.
  • The management of the portal. This includes the registration of interest, download and assessment of all documentation, checking/sending of clarifications and the eventual submission.
  • The tender writing process, including any branding work, creation of Gantt charts or similar.
  • An internal 2-tier review process by senior management of all elements of the tender response.
  • An efficient editing process pending your own review of all work.
  • Handling of all buyer enquiries and submission.

How could a Tender Management service help your business?

Our tender management services can revolutionise your approach to tendering. At Hudson Succeed, our experienced team of tender consultants will work collaboratively with you.

Our objectives will be to:

  • define your tendering aims
  • create strong, compelling tender responses that impress buyers and, ultimately, help your business grow.

It may be that you do not have your own tender writing staff or require a temporary solution to cover sick leave or maternity cover.

It could also be that as a business you are new to tendering and wish to benefit from the experience of a tender consultancy.

The benefits you can expect to see will include:

  • Access to our team who have almost two decades of experience in the world of tendering and procurement. This means that our advice is backed up with knowledge of the sector from both the Supplier and Buyer side of things.
  • You can be assured that when we are working on your tender, it is receiving the full attention of an experienced Bid Writer, which an in-house resource may not be able to afford.
  • Our 87% bid success rate means that you can rest assured that your bid is in safe hands.
  • Saving time by alleviating the pressure of submitting a winning tender. Let us manage the bids while you focus on delivering the contracts.

Integrating our service with your business

You will be appointed an experienced Bid Writer who will fully integrate within your team. We will be as invested in your business growth as you are, feeding into your existing Sales Team with full accountability for results. Working with you closely, allows us to better understand your organisation and showcase you in the best light. This ensures that you see a quick return on investment.

We believe that ongoing communication is key to successful integration.

Communication is managed through:

  • Detailed bid plans

Before the commencement of work on any contracts, our team will create a thorough bid plan. The plan clearly demonstrates all steps and ensures that expectations are set from the beginning.

  • Weekly catch-up calls

Calls are scheduled at a time and day that suits you. During this call, we will discuss the current workload, required information and related business activities.
